Document Controller – 4Projects

A leading renewable energy company seeks a Document Controller the administration of their “4Projects” Document Management System. The role involves coordinating across departments and ensuring that documents are kept in the right location and are accessible to the appropriate teams. Maintenance of user access, security groups and permissions and configuration of the DMS is key.
Applicants should have knowledge in document control, system administration combined with a solid working knowledge of 4Projects.
Become competent in the Company’s business matters, work flows and practices - this is crucial so as to be able to identify and control documents effectively.
Act as Administrator for the Document Management System (4Projects).
Become the first point of contact for all DMS related queries.
Undertake QA and upload documents to the DMS.
Ensure that all documents are categorised according to the type of document -this involves checking and approving documents before they are filed and liaising with internal and external stakeholders to ensure that documents contain correct and understandable information regards their categorisation.
Maintain the Document Management System security, create security groups and maintain permissions
Work to deadlines, ensuring that all teams are following the same procedures with regards to document management.
Ensure management procedures are complied with at all times.
Coordinate across departments ensuring that documents are kept in the right location and are accessible to the appropriate teams.
Provide administration support as required to all stakeholders across the consortium.
Keep abreast of new advances in 4Projects, ensuring that the Company is utilizing functionality effectively.
This is an exciting and challenging role for a highly motivated Document Controller who can work independently in a fast-paced and deadline driven environment. You will be required to demonstrate your knowledge of 4Projects at the interview stage.
Qualifications & Experience
The successful candidate will have:
Educated to GCSE A Level standard minimum - Degree preferable.
A minimum of 3 years’ document control experience essential.
Proven understanding and experience in the system administration of 4Projects essential.
IT literate – a proficient user of Microsoft Office applications essential.
